An overview of each step of the school purchase booklisting process

This guide outlines the steps involved in the school purchase booklist process, where the school purchases resources for students through a bulk order.

Booklist Open

BoB initiates the process by drafting the booklist based on the texts purchased by the school in the previous year.

The booklist is then made available to the key booklisting contact at the school (the "Booklist Owner") and nominated teachers/faculty leaders ("Booklist Reviewers") on the BoB Portal. You can also share the booklist via a link for Reviewers to access by selecting SHARE and then COPY LINK.

Booklists can then start being reviewed and approved or amended as required. The Booklist Owner and Reviewers update the booklist for the new academic year, focusing on:

  1. confirming text selections for each subject, and

  2. updating the purchase quantities

If no changes are required, simply click the green tick next to each subject heading to indicate that the booklisted resources are correct for that subject.

Amendments can be communicated by adding flags to the booklist for the BoB team to action accordingly. We have an effective colour coordinated flag system to make this process clear and streamlined for both parties. Please refer to our Booklist Flags Workflow article here for more information.

You can also make amendments yourself. If you wish to add books, navigate to the subject and simply select ADD CATALOGUE ITEM. This will create a field where you can select books to add to the booklist.

In the pop up window, search for the book or resource using key words, title, or ISBN. Tick the box of the appropriate text and click ADD BOOK.

Remember, you can evaluate the suitability of books for your booklisting by utilising our Evaluation Copies Feature.

If you are after a particular text that we don't have in our catalogue, please reach out to us via In-App Support with a 'new title request'. We can then raise this with our Content Management Team to confirm pricing and availability of your requested title.

You can enter or edit the number of students by simply clicking on PURCHASE QUANTITY NEEDED entering the applicable number and confirming by selecting the green tick icon.

It is important to note that each booklist is locked for ONE person's use at a time. When you click EDIT BOOKLIST, you will unlock and CHECK OUT the booklist for yourself to make changes.

When you have finished your editing, be sure to click SAVE AND CONTINUE so that none of your changes are lost. You can then RELEASE BOOKLIST for others to go in and provide their own edits.

Once all subjects have been updated and ticked off, submit the booklists as 'Mark as School Approved':

Once all of the texts have been chosen, expected enrolments entered and flags closed, Box of Books will begin Quality Assurance checks to ensure there are no inconsistencies or supply issues with the booklisted texts. The Booklist Owner is promptly informed if any issues arise during the QA process. Once all queries are confirmed and updates have been made

If any further minor changes are required, please let your Booklisting Manager at Box of Books know and we can update this on your school's behalf.

Pricing Proposal

Once the quality assurance checks are complete, the final pricing proposal is sent back to the Booklist Owner to confirm that no further changes are required. The Booklist Owner provides a school purchase order, or alternatively gives approval to be invoiced without a PO.

Invoicing

Upon receipt of the PO or approval to proceed with invoicing, BoB processes the order and emails the invoice to the school. BoB arranges delivery of any physical items, and sets up digital access for students and teachers.

The accurate and timely completion of booklists is crucial for BoB to deliver the best possible Back to School experience for the school. Please find attached the key dates for the academic year commencing in Term 4 2024 and Back to School 2025.
